General Safety in Studio 4 Sets

  • As outlined by Ottawa Public Health, in an enclosed public space, every person who enters or remains on the set must wear a mask that covers their mouth, nose, and chin (unless exempted) as per the City of Ottawa’s Temporary Mandatory Mask By-law. Wearing a mask does not replace other protective measures including physical distancing, hand washing, not touching your eyes, nose or mouth with unwashed hands and self-monitoring for COVID-19.

  • Everyone is to maintain a 2m distance from each other when they are not filming.

  • If people will be projecting their voices (speeches, shouting, singing), then greater distancing is prudent.

  • Sanitizer will be available for frequent hand sanitizing.

  • We encourage everyone to wash their hands regularly during their time with us.

  • Our  set and premises have been  configured and operated in such a way as to enable persons to maintain a physical distance of at least two metres 6 feet) from other persons, except where necessary for the filming of the movie or television production.

  • Only the staff of Studio 4 Sets is permitted to set up and touch the camera, lenses, lights and other studio equipment during the shoot.

  • Clients are not permitted to come close to the camera.

  • Studio 4 Sets also provides contactless methods of payment (tapping credit or debit cards) instead of cash.

Number of People in the Premises

  • Studio 4 Sets will be restricting the number of production staff and studio audience members to ensure ease of movement and to maintain two metres/six feet between people. This includes, admitting fewer clients at a given time.

  • We require all studio clients or audience members to reserve their space in advance.

Cleanliness for your Comfort

  •  All furniture and props will be thoroughly cleaned and disinfected before each shoot.

  • In addition to routine cleaning, surfaces that have frequent contact with hands are cleaned and disinfected after each session and when visibly dirty. Special attention is paid to commonly touched surfaces such as doorknobs, light switches, toilet handles, counters,touch screen surfaces, and shared materials, equipment, workstations, keypads, etc.

  • Persons who provide hair or makeup services must wear appropriate personal protective equipment.

Self Assessment

We ask that all clients before coming to the studio, do a self assessment.

If you are a feeling any of the following symptoms:

  • Fever or chills

  • Cough

  • Runny nose, nasal congestion or sneezing without other known cause

  • Sore throat

  • Difficulty breathing or swallowing

  • Unexplained fatigue or malaise

  • Headaches

  • Decrease (or loss) of sense of taste or smell

Assumption of Risk

COVID-19 is an extremely contagious virus that spreads easily from person-to-person contact. By agreeing to take part in a photography shoot or visit our studio, you agree to the following terms. Once you appear on set, your agreement to the following terms is irrevocable.

  • I acknowledge the contagious nature of COVID-19 and voluntarily assume the risk that participating in this shoot may expose me to COVID-19, a virus that could cause illness, serious health complications, and even death.

  • I voluntarily agree to assume all risks associated with participating in this shoot with respect to COVID-19.

  • I hereby release, discharge, and hold harmless Studio 4 Sets from all claims relating to my participation in this shoot.

  • I further agree to immediately alert Studio 4 Sets  if I am experiencing  any known symptoms of COVID-19 or other unusual and inexplicable health-related symptoms within 14 days of the shoot.

FAQ

What is considered Commercial Photography?

Anything that involves photographs for commercial use. This includes promotional marketing of a business, website or product/ material images.

Are Headshots Allowed?

Headshots are still allowed as long as they are being used for branding, marketing and product services.

How do the new restrictions affect Film/ Television?

Film and television production will be allowed to continue while limiting the number of performers on a film or television set to no more than ten. 

Why are the limitations different for Photography vs Film Production?

A Film production usually requires a crew and more equipment in order to produce film, commercials etc..

These are the restrictions outlined by the Ontario Government for commercial photography/ film production.

BOOKING POLICY

We recommend that you read our Booking Policy before you start booking one of our spaces to make sure you know and understand all of our rules. You may not
smoke or bring alcohol onto the premises. Smoking is only permitted outdoors, twenty feet from the building. Renter is responsible for cleaning up any smoking-related debris before leaving.

The studio may be used only for legal business activities. If illegal activities are discovered, authorities will be notified and the renter will be removed from the premises. The renter will be charged a $800 fine in addition to the full agreed-upon amount of the booking.

Adult filming is not permitted during studio rental use. If such activities are discovered, Renter will be removed from the premises and charged a $800 fine on top of the full agreed upon booking total.

The lease will begin and end as specified in the lease agreement. Set-up and clean-up must take place during hours set forth in the lease agreement, unless additional time is requested and accommodated. If such a request is denied, the Renter agrees to pay additional fees if the studio accommodates additional time. However, the studio reserves the right to deny additional time requests.

Film and lighting equipment is not included in the studio rental fee. Equipment can be rented upon your arrival to the space. Without prior consent from a studio manager and payment in accordance with the preliminary agreement, you may not use any studio equipment.

Renters are responsible for paying for hours agreed upon even if they show up late or not at all. Renters must provide the following information in advance:

** Rental agreement and liability waiver **
** provide a valid photocopy of your ID **
** Releases for all persons who will be in attendance at the studio **

The total amount of your reservation is due at the time of booking. The date and studio/rental items are not reserved until full payment is received, and a signed rental agreement is received by the studio. The booking fee is non-refundable and non-transferable.

Failure to comply with the above Policies and Regulations will result in dismissal from the premises, termination of your production shoot or a phone call to law enforcement.

FREQUENTLY ASKED QUESTIONS

Q: Can I get a refund if I need to cancel my shoot?
A: No refunds, no exceptions.

Q: Can i keep my gear in the studio overnight?
A:  Yes, but we charge a $200 fee to keep it in our space. 

Q: Can I move the date of my shoot?
A:  Yes, but we charge a $300 fee to move the date. 

Q: I’m running hour behind my shoots start time, can I push it back?
A:  No, your shoot starts at the time that you booked.

Q: Can I use the equipment that belongs to the studio?
A: studio equipment is not included in the studio rental fee, but it can be rented upon your arrival to the space.
Renter is not allowed to use any studio equipment unless it was agreed with a studio manager and paid in accordance with the preliminary agreement. 

Q: Can I bring my kids to the studio?
A:  Yes, the studio is family friendly.
Minors under the age of 18 must be accompanied by an adult at all times. 

Q: Total square-footage of the studio?
A:  1,000 sq ft – studio A;
A: 1,000 sq ft – studio B;

Q: Height of the  grid to the floor?
A:  20 ft – studio A;
A: 20 ft – studio B.

Q: Do you provide vehicles for the shoots?
A: No, clients need to bring in their own vehicles for the shoots.
We can recommend a place to rent them if needed. Car fee is 300$.

Q: How many vehicles can fit on the cyclorama wall?
A: Total: One.

Q: Do you have a fog machine?
A:  Yes we do.

Q: Soundproofed?
A:   studio A/B – no;

Q: Can we film adult content at the studio?
A:  Filming adult content is not allowed on the studios premises.

Q: Site rep?
A: An on-site manager will be present during the booking.

Q: Studio hours?
A: We work 9am-9pm every day. Extra hours can be considered for a separate price.

Q: Dedicated parking?
A: Yes.
